Loop Solutions, LLC ("Loop," "we," "us," or "our") provides a cloud-based customer relationship and case-management platform for consumer financial services law firms (the "Service"). This Privacy Policy explains how we collect, use, disclose, and protect information in connection with our website and the Service. By using the Service or our website, you agree to this Policy.

This Policy works alongside our Terms of Service. Capitalized terms not defined here have the meaning given in the Terms.

01Scope of This Policy

This Policy applies to information we process as a business through our website (loopsolutions.com) and when our customers ("Customers"), which are law firms and their authorized users, use the Service. It does not govern the privacy practices of our Customers or of any third-party services that integrate with the Service, each of which maintains its own policies.

02Information We Collect

We collect the following categories of information:

  • Account and contact information. Names, work email addresses, firm name, firm size, phone numbers, and similar details you provide when you register, request access, or contact us.
  • Customer Data. Information that Customers and their authorized users submit to or process through the Service, which may include information about the Customer's own clients. This is described further in Section 3.
  • Usage and device information. Log data, IP address, browser type, device identifiers, pages viewed, and interactions with the Service, collected automatically to operate and secure the platform.
  • Communications with us. Records of your correspondence, support requests, and inquiries.

03Customer Data and End Clients

When a Customer uses the Service, it may submit information about its own clients ("End Clients"), such as contact details, case information, documents, and communication records. With respect to Customer Data, Loop acts as a processor or service provider on behalf of the Customer, who is the controller or business responsible for that information.

We process Customer Data only to provide, maintain, secure, and support the Service, and as otherwise directed by the Customer or permitted by our Terms of Service. If you are an End Client and have questions about how your information is handled, please contact the law firm that manages your matter.

04How We Use Information

We use information to:

  • Provide, operate, maintain, and improve the Service and our website.
  • Create and administer accounts and authenticate users.
  • Respond to inquiries, provide support, and communicate about the Service, including closed-beta access.
  • Monitor, secure, and troubleshoot the Service, and detect and prevent fraud or abuse.
  • Comply with legal obligations and enforce our agreements.

05Communications and Messaging

The Service enables Customers to send telephone, voice, and text (SMS/MMS) communications to their End Clients. Customers are the sender of record and are solely responsible for obtaining required consents and honoring opt-out requests, as described in our Terms of Service. Loop processes the metadata and content necessary to transmit and log those communications on behalf of the Customer. We do not use End Client contact information to send our own marketing messages.

06SMS and Text Messaging

The Service supports two-way and one-way SMS/MMS text messaging, which may include one-time passcodes (OTPs) and account-verification messages, appointment and case reminders, status updates, and conversational messages between a law firm and its clients. This section describes how mobile information is handled.

  • Consent. Text messages are sent only after the recipient has opted in. For messages Loop sends directly (such as OTPs and verification codes tied to your account), you consent by providing your mobile number and using the relevant feature. For messages a Customer law firm sends to its clients, the Customer is responsible for obtaining prior express consent.
  • No sharing of mobile opt-in data. Mobile phone numbers and SMS consent are not shared with third parties or affiliates for their own marketing purposes. Information collected as part of SMS consent is used solely to deliver the messages you have opted in to receive and to operate the Service, and is shared only with the messaging carriers and subprocessors necessary to transmit those messages.
  • Message frequency. Message frequency varies based on your account activity and the interactions you or your law firm initiate.
  • Opt-out. You can opt out of text messages at any time by replying STOP to any message. After you send STOP, we will send a single confirmation and will stop sending non-essential messages. Note that STOP may not apply to essential security messages such as OTPs required to access your account.
  • Help. Reply HELP for assistance, or contact us at info@loopsolutions.com.
  • Cost. Message and data rates may apply, depending on your mobile carrier and plan.
  • Carrier disclaimer. Mobile carriers are not liable for delayed or undelivered messages.

07How We Share Information

We do not sell personal information. We share information only as follows:

  • With service providers and subprocessors who perform functions on our behalf, subject to confidentiality and data-protection obligations (see Section 7).
  • At a Customer's direction, including with integrations the Customer chooses to enable.
  • For legal reasons, when required to comply with law, respond to lawful requests, or protect the rights, safety, and security of Loop, our users, or others.
  • In a business transfer, such as a merger, acquisition, or sale of assets, subject to appropriate safeguards.

08Service Providers and Subprocessors

We rely on trusted third parties to provide infrastructure and functionality, which may include cloud hosting, communications and messaging carriers, payment processing, and analytics. These providers may process information only as necessary to perform services for us and are bound by contractual obligations to protect it.

09Cookies and Analytics

Our website and the Service use cookies and similar technologies to keep you signed in, remember preferences, and understand how the Service is used. You can control cookies through your browser settings, though disabling some cookies may affect functionality. We may use analytics tools to measure and improve performance.

10Data Security

We maintain administrative, technical, and physical safeguards designed to protect information, including encryption in transit and at rest, access controls, and role-based permissions. No method of transmission or storage is completely secure, and we cannot guarantee absolute security. If you believe your account has been compromised, please contact us promptly.

11Data Retention

We retain information for as long as needed to provide the Service, comply with our legal obligations, resolve disputes, and enforce our agreements. Customer Data is retained according to the Customer's instructions and our Terms of Service. Following termination, we may delete or de-identify information in the ordinary course, subject to legal retention requirements.

12Your Rights and Choices

Depending on your location, you may have rights to access, correct, delete, or port your personal information, or to object to or restrict certain processing. Because much of the information we process is Customer Data handled on behalf of a Customer, we will refer requests concerning that data to the relevant Customer and support them in responding. To exercise rights regarding information Loop holds as a business, contact us using the details below.

13Children's Privacy

The Service is intended for use by law firms and their authorized personnel and is not directed to children under 13. We do not knowingly collect personal information directly from children. If you believe a child has provided us information, please contact us so we can take appropriate action.

14International Users

Loop is based in the United States, and the information we process is stored and processed in the United States. If you access the Service from outside the United States, you understand that your information may be transferred to and processed in the United States, where data-protection laws may differ from those in your jurisdiction.

15Changes to This Policy

We may update this Policy from time to time. Material changes will be communicated by posting the updated Policy with a revised "Last updated" date and, where appropriate, by additional notice. Your continued use of the Service after the effective date constitutes acceptance of the updated Policy.
